Data we use and why
We receive the information you provide through enquiries, quotations, orders and correspondence: your name, contact and business details, delivery and billing addresses, VAT details where relevant, order and payment references, project requirements and attachments. Uploads may include JPEG/PNG photographs and CAD files such as DWG, STEP, IGES, STL and DXF. Technical data can include IP address, browser/device information, session identifiers and security logs. Stripe and other payment participants provide transaction status and payment-related information.
- Enquiries, quotations and orders: we process information necessary to take steps you request before a contract and to perform the contract, including delivery and aftercare. For someone acting for a business, our legitimate interest is managing that business relationship.
- General correspondence and website security: our legitimate interests are answering messages, operating the website, preventing abuse and protecting customers and our business.
- Invoices, statutory guarantees, product-safety duties and required disclosures: processing is based on applicable legal obligations. Relevant records may also support our legitimate interest in establishing or defending claims.
- Optional marketing and non-essential tracking: these require the relevant separate consent. Ordering, enquiring or accepting essential cookies does not subscribe you to marketing.
Required fields identify information needed to answer a request or fulfil an order; without it we may be unable to proceed. Do not send unrelated sensitive information or identity documents. Include another person’s data only where you are entitled to share it.
Services and recipients
Hostinger hosts the website. GoDaddy provides the info@nexart.be email service. WordPress, WooCommerce and Fluent Forms provide website, shop and form functionality; using this software does not itself mean its publishers receive every submission. Relevant authorised NEXART personnel and service providers can access data needed for their work.
Stripe processes payments with the relevant banks and payment-method providers. It also processes data for its own security, fraud-prevention and legal purposes under its Privacy Policy. Automated fraud checks may affect payment authorisation. Contact us for help with a refused payment; Stripe’s notice explains its processing and related rights.
With your consent for statistics and, where relevant, marketing measurement, Google Analytics through Site Kit processes online identifiers and information about pages and interactions, including shopping and enquiry events. Our Analytics property is linked to Google Ads for conversion measurement; personalised advertising is disabled for that link. Google explains its processing in its Privacy Policy.
No accountant, carrier, additional cloud-storage provider or external newsletter service has yet been selected. Before appointing one, we will identify the provider, limit sharing to its necessary purpose and assess the applicable data-protection arrangements. Accountants, delivery services, professional advisers or authorities may receive relevant information when needed for an order, legal duty or claim. We will explain any materially new use before it begins.
International processing
Our hosting, email, payment and analytics providers may process data outside the European Economic Area. Transfer arrangements depend on the recipient and destination. Published terms describe European Commission standard contractual clauses for relevant transfers: Hostinger’s data-processing terms, GoDaddy’s data-processing terms and Stripe’s privacy notice. Stripe also describes transfers relying on adequacy decisions. Google’s privacy notice explains its international processing. Retention
Our retention policy sets these limits:
- Enquiries that do not become orders: 12 months after the last meaningful contact.
- Uploads for quotations that do not proceed: 6 months after the quotation closes, unless needed for an ongoing project.
- Unnecessary duplicates, unused photos and superseded working drafts: review at project completion and delete within 90 days after customer acceptance of the completed project.
- Essential project records: retain only what is proportionate to applicable product-safety, warranty and claims requirements, considering the record, product and relevant legal period.
- Invoices and supporting tax records: generally 10 years, counted from 1 January following the relevant year; a specific legal requirement can justify longer retention.
An identified legal dispute or obligation may require preserving particular records beyond these limits; we review the continuing need. The policy also applies to copies and backups. Minimal consent or suppression records may be retained as necessary to evidence or respect your choices.
Optional updates and project photographs
We do not currently send a newsletter. Marketing choices are optional and initially unticked. Requests for updates are held pending; separate email verification is required before any marketing is sent. You can withdraw a pending request at info@nexart.be. Future marketing messages will include an unsubscribe option. Necessary replies, order and service messages remain separate.
Uploading photographs or project files does not authorise publication. Permission to contact you about featuring a project is only permission for that conversation. Any publication requires separate agreement on the selected material and its use.
Cookies and your choices
Cookies and similar technologies support sessions, baskets, security and remembering privacy choices. Non-essential statistics or marketing technologies require your consent. Complianz manages the site’s choice interface. Use Cookie preferences on the page to reopen it, change categories or reject optional cookies. Browser settings also allow deletion of cookies; doing so can reset stored choices and affect shop functions.
Cookie consent is separate from newsletter permission. For information about a specific cookie, its provider, purpose or duration, contact info@nexart.be.
Your rights
Where applicable, you can request access, correction, erasure, restriction and portability, and object to processing based on legitimate interests. You can object to direct marketing at any time and withdraw consent without affecting earlier lawful processing. Some records must remain where a legal obligation or valid claim requires them.
Write to info@nexart.be. We respond within one month, subject to lawful extensions, and may request proportionate information to verify identity. You may complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, contact@apd-gba.be, or the competent authority where you live or work. We will update this notice when our processing changes.
